Privacy information
Warranties4U Ltd collects personal information where necessary to provide quotations, administer warranties and breakdown memberships, process payments, assess claims, manage dealer applications, prevent fraud, meet legal obligations and provide customer support.
Where necessary for those purposes, information may be shared with:
- Stripe, to process and confirm payments securely;
- Supabase, which provides secure database, authentication, document-storage and portal services;
- Netlify, which hosts the website and processes hosted form submissions;
- Vehicle Data Global, to obtain vehicle information following a registration lookup;
- National Breakdown and International Breakdown, to arrange and administer breakdown membership and assistance;
- repair garages and relevant suppliers, to assess, authorise and complete warranty claims;
- supplying or administering motor dealers, where required to create or administer a warranty;
- our email provider, to deliver service, policy, claim and authorised marketing communications; and
- professional advisers, regulators or authorities, where disclosure is required by law or necessary to establish, exercise or defend legal rights.
We share only the information reasonably required for the relevant purpose and require service providers to handle it securely under their applicable contractual and data-protection obligations.
Retention schedule
- Abandoned quotations and vehicle lookups: 12 months after the last activity, unless the information becomes part of a purchase, complaint or legal matter.
- Warranty, breakdown membership and customer contract records: throughout the agreement and for six years after expiry or cancellation.
- Claims, quotations, uploaded evidence and claim audit history: six years after the claim is finally closed.
- Complaints: six years after final closure.
- Approved dealer applications, dealer agreements and account records: throughout the relationship and for six years after it ends.
- Unsuccessful or withdrawn dealer applications: 12 months after the decision or withdrawal.
- Payment and accounting records: six years from the end of the relevant company financial year, or longer where HMRC or another legal requirement applies.
- General enquiries that do not lead to a product or complaint: two years after the enquiry is closed.
- Marketing records: reviewed after 24 months without engagement. A minimal suppression record may be retained while marketing continues so that an opt-out is respected.
Deletion may be paused where a record is required for an active complaint, claim, investigation, legal hold or statutory requirement. At the end of the applicable period, information will be securely deleted or anonymised.
Product and service communications are separate from optional marketing. Customers may choose to receive marketing about similar Warranties 4U products and may withdraw that choice at any time by emailing admin@warranties4u.co.uk. Every electronic marketing message will provide an unsubscribe route.
You may ask for access to or correction of your information and, where applicable, request erasure or restriction, object to processing or request data portability. You may also complain to the Information Commissioner's Office. The official data-protection contact is admin@warranties4u.co.uk.
